What a chatbot costs a small business
An off-the-shelf AI chat tool starts at free to about $30 a month: Tidio is free for 50 conversations and $24.17 a month for Starter billed yearly, and Intercom is $29 a seat plus $0.99 per AI outcome. A custom chatbot connected to your own systems is a build, priced by what it has to connect to.
Honestly, most small businesses I talk to don't need one yet. Here's how I'd tell. Hope this helps.

Three ways to do it, cheapest first
Prices checked October 2026.
1No chatbot: a good FAQ and saved replies
Free. Write down the questions you get every week, answer them once on your site, and save replies for the rest. This covers more than people expect.
2An off-the-shelf AI chat tool
Tidio: free for 50 conversations a month, Starter $24.17 a month billed yearly, Growth from $49.17, and the Lyro AI add-on from $32.50 a month. Intercom: $29, $85 or $132 a seat a month billed yearly, plus $0.99 per AI outcome. You train them on your own content and they're live in a day or two.
3A custom build
When the bot needs to read from your inventory, bookings or customer records, not just your website. That's custom work. For us it's part of a Build, starting at $5,000 with a fixed quote after an hour together. AI model usage gets billed on top, based on traffic.
What makes a chatbot cost more
Intercom's $0.99 per outcome is easy to ignore at 20 a month and hard to ignore at 500, which is $495. Estimate your volume before you pick a tool.
The humans answering the chats the bot hands off each need a seat. On Intercom that's $29 to $132 a seat billed yearly, so count who actually answers chats before you pick a plan.
Answering from your website is cheap. Checking a real order, booking a real slot or reading a customer record means connecting to another system, and that's where custom work comes in.
Every time your prices, hours or policies change, the bot's source material has to change too. An AI agent confidently giving last year's price is worse than no bot.

How much does a chatbot cost for a small business?
An off-the-shelf chat tool with an AI agent built in is the cheap end. Tidio is free for 50 conversations a month and its Starter plan is $24.17 a month billed yearly, and Intercom is $29 a seat a month billed yearly plus $0.99 per AI outcome, which counts a handoff to a person as well as a resolved conversation. A custom chatbot wired into your own systems is a build, and the price depends on what it has to connect to.
Do I need a chatbot?
Probably not yet. If people mostly ask the same handful of questions, a good FAQ page and saved replies cover most of it for free. A chatbot starts to make sense when the same questions keep coming in faster than you can answer them, or after hours when nobody is around.
What's the difference between a chatbot and an AI agent?
An old-style chatbot follows a script you build, button by button. An AI agent reads the question and writes an answer from your content, so it can handle questions you didn't script. It can also be wrong in ways a script can't, so it needs good source material and somebody checking its answers.
What are the ongoing costs of an AI chatbot?
Watch the usage pricing. Intercom charges $0.99 per AI outcome, so 500 a month is $495 on top of seats. Tidio's paid plans include a set number of conversations, and its Lyro AI add-on starts at $32.50 a month for 50 conversations. Then there's keeping the answers current every time your prices, hours or policies change.
Does Handled build chatbots?
Most of what we build is the system underneath, not chat widgets. If a business needs a chatbot that reads from its own inventory, bookings or records, that's custom work, part of a Build from $5,000 with a fixed quote after an hour together. If an off-the-shelf tool would do the job, I'll tell you to use that.
When you don't need me
For most chatbot questions, honestly, you don't.
It's the same few questions. Write a better FAQ and save your replies. Free, and done this week.
The bot only needs to answer from your website. Try Tidio's free plan or an off-the-shelf tool. You can set it up yourself.
Your current tools already have chat. Your website builder, booking tool or CRM might already include it. Turn it on before you buy anything.
What changed
- October 31, 2026: updated Handled's prices again. Builds now start at $5,000, Partner is $3,500 a month on a six-month commitment, and a Command Center is $2,500 plus $297 a month.
- October 29, 2026: updated Handled's own prices to that day's lineup. Builds were briefly set to start at $2,500, and monthly help was Upkeep ($250) or Partner ($2,500 on a six-month commitment). Outside prices were not rechecked.
- October 12, 2026: Intercom's $0.99 fee now described as per AI outcome, Intercom's own billing unit, which counts a handoff to a person as well as a resolved conversation.
- October 2026: rewritten top to bottom. Removed the tier price ranges, time-savings figures and the three example businesses, which weren't real clients. Tidio and Intercom prices now come from their own pricing pages, including per-answer AI fees.
- April 2026: first published.
